Your friend is coming to your city from overseas. Write to him/her to say that you will not be able to accommodate him/her in your home. Include the following in your letter:
– Give your reasons.
– Suggest him/her an alternative accommodation.
– Suggest a place and time
for you to meet.
Dearest Natasha,
I cannot describe my
excitement when I got your message saying you will be visiting Calgary next
month. I had made extensive plans to have you stay at my home during your visit.
However, as luck would have it, I have been called away to work in Montreal at
the time of your arrival.

Since I’m the head of cybersecurity
analysis in my organization, I have to often travel to our branches in various
cities across the country to monitor the security protocols that protect our
company’s valuable data. This time, I have to visit the Montreal branch to solve
a serious security breach in one of the servers.

Nevertheless, I promised
to take care of your accommodation. So, if you wouldn’t mind, I would like to
suggest a really good hostel that is run by my friend Mrs. Bingham. Not only has she gladly agreed to give you an entire room considering your need for privacy, she will also provide for your daily meals.
Body Paragraph 3 (Task Prompt No. 3)
I would be back by the 25th - three days after you land in Calgary. I shall come to meet you at your accommodation
the very next morning and we can have breakfast together at a popular French café nearby.
I really regret our plans
of staying together falling apart, but I promise there cannot be a better
alternative for you than Mrs. Bingham’s hostel. I’m enclosing its details for
you to check out, and I can’t wait to finally meet you.
